Waxing
Waxing is a very popular and widely used method for semi-permanent hair removal. As the name implies, the process involves the use of wax to remove hair from the root, leaving smooth, hair-less skin in its place. Waxing is a quick, affordable, and safe way of removing hair from most areas of the body including the upper lip, eyebrows, chin, underarms and arms, as well as legs and bikini areas. Waxing not only rejuvenates the skin but also eliminates dead skin cells, offering an effective exfoliating treatment.
When is your next menstrual cycle due to begin?
Always allow five days for menstrual cycle. Because of water retention and for your own personal comfort, you should avoid hair removal two days before your cycle is due and two days after it is completed.) *

Before Your Treatment
- Bath or shower on the day of your appointment to open up follicles, allowing for easier hair removal.
-Do not apply any deodorants, make-up, lotions, soaps, powders, perfumes, or self-tanning products to the area to be waxed.
- If you have been shaving, allow a minimum of 2-3 weeks or ¼ inch of hair growth.
- Trim bikini hair before your appointment. Longer hair can be more painful to wax.
- Schedule your wax 3-4 days before beach and poolside jaunts if you plan to sunbathe.
- Avoid heat. No tanning beds, hot tubs, and saunas before your appointment.
- Wear loose comfortable clothing to prevent irritation after waxing.
- Exfoliate the waxing area 24-48 hours before your appointment. This will keep the skin soft and smoother and prevent ingrown hairs.
Waxing can be done on almost anyone. We do suggest that hair follicles in the treated area are at least ¼ inch in length, that you do not shave the treated area prior to waxing, and that you refrain from the use of retinol at least 4 days prior to waxing. If you are taking Retin A or Accutane, waxing services cannot be performed, but eyebrow shaping with tweezing the hairs can be considered. Skincare products that contain glycolic acids or alpha hydroxy acids must be discontinued 3-5 days before the waxing service.
Please note that if your hair is too short for waxing, we will not be able to reschedule your appointment using your voucher. Your voucher is valid for a single visit, regardless of the number of areas selected. If waxing cannot be performed due to insufficient hair length or any other contraindication, your voucher will be forfeited and redeemed. No refunds or alternative appointments will be provided. *

What to Expect During the Treatment
It’s normal immediately after your wax for a little bit of redness and a prickly heat-type rash to appear. This should disappear after a few hours and is normally due to a histamine reaction.
- Because waxing removes the hair at the root, it’s important that you keep the area clean and bacteria-free. A soothing aftercare product like phyto-corrective gel or aloe can be applied.
- 3-10 Days after waxing: As your skin closes over the follicles, the next consideration is to ensure you prevent ingrown hairs. This is when new, often softer hair can get trapped under the skin.
- Three simple measures can easily avoid this situation:
- Step 1: Exfoliate manually. For example, use a dry body brush before showering or a microdermabrasion scrub.
- Step 2: Exfoliate with a wash or toner that has AHA/BHA in the treated area.
- Step 3: Moisturize with a lotion that has active softening ingredients in it. We recommend and sell “Lycon Ingrow X-it cream and spray” which contains 15% Glycolic Acid, which exfoliates and brightens skin. Master antioxidant Glutathione lightens pigmentation, and retinol increases cellular turnover for smoother, firmer, youthful skin.
- If you’re a first-time or occasional waxer you will likely notice some new hair growth within 2-3 weeks due to the naturally staggered hair growth cycle. This part of regrowth will be sparse, with about one-third of the hair normally present. Soon after, the remaining hair will begin growing in.
- Regular waxing will leave the area hair free for 3 – 6 weeks. Over time the density of hair in the waxed area may start to decrease as well. *

Post-Treatment Instructions
For the first 24 hours after a waxing service, avoid the following to prevent irritating the skin: Touching or scratching the waxed area Exfoliating the waxed area We suggest you rather shower in a cold temperature. Ensure the water runs off the waxed area and you do not wash or scrub this area Perspiration and friction on the waxed area Saunas and steam rooms Exercise, gyms, and swimming Sunbathing, sunbeds, or any sunlight and UV exposure. Sweat can infect open follicles and heat can irritate the waxed area. Remember to book your wax 2 days before you go on holiday, to allow the follicles enough time to close and the skin to calm down Applying products to the waxed area such as deodorants, make-up, lotions, soaps, powders, perfumes, self-tanning products, etc. Tight-fitted clothing that may cause friction to the waxed area To soothe and calm the skin, we suggest regularly applying an Aloe Vera gel. This will rehydrate the skin and soothe any discomfort you may experience. Tea tree oil can also be applied to the area for its antibacterial properties in ensuring the area remains bacteria-free. Remember, it is important to keep the area clean and dry for 48 hours after your appointment. 3-10 days after your waxing service, you need to ensure you prevent ingrown hairs. The skin will close over the follicles and new hair may get trapped causing ingrown hairs. Gently exfoliate 2-3 times a week with a body scrub. Start this routine 2-3 days after the waxing treatment. It is essential that you perform this routine between days 3-10 after your wax service. Remember to not over-exfoliate as this can cause damage to the skin. Follow your exfoliation with an enriching and nourishing moisturizer. This process will prevent ingrown hairs and ensure that your next wax is easier and a little less painful. It is important that you plan your waxing treatments. Your maintenance schedule will depend on your hormones, your natural hair growth cycle, and other requirements. You will notice that new hair will start to grow back within 2-3 weeks. We suggest follow-up appointments 3-4 weeks for facial waxing and 4-6 weeks for body waxing. *

Waxing Consent Form
I have been advised the service(s) provided to me by this salon could have unfavorable results including, but not limited to: allergic reaction, irritation, burning, redness, soreness, etc. I am aware that certain medications and over-the-counter products can significantly increase the risk of injury when combined with skin care services. I understand that Shape Zone does not recommend skin care services for customers using Retin-A, Accutane, and products contacting alpha hydroxyl, or any other skin thinning treatments.
I hereby confirm that I am not using any medications that may cause or contribute to such injury/reaction, and I will advise my esthetician should I use any such medications in the future. I understand there are often inherent risks associated with skin care services, and I agree that as a condition of providing these services on an ongoing basis, I will not hold Shape Zone liable. Although good results are expected, there cannot be any guarantee or warranty expressed or implied with regard to the results that may be obtained. I understand that the following are among the expected side effects of Waxing:
* Blood and circulatory disorders
Blood and circulatory disorders, particularly those that cause easy bruising (e.g., thrombosis) are contraindicated.
*Cancer treatments
Chemotherapy and radiation may cause increased sensitivity. It would be advisable to wait until 6 weeks after the last cancer treatment or your doctor's recommendation or approval.
*Epilepsy
Epilepsy is contraindicated unless it has been controlled for a long period and with medication that does not cause easy bruising. A physician's approval must be obtained before the waxing service.
*Diabetes
The client with diabetes should consult with the physician for the degree of severity and the degree of healing. Fractures and sprainsThe area of fracture or sprain should not be waxed until it is completely healed.
*Hemophilia
Clients with hemophilia should not be waxed, because bleeding can occur. Especially when removing a high parentage of anagen hairs. The removal of anagen hairs breaks the cycle of blood flow to the dermal papilla and buses bleeding in the follicle. Herpes, herpes simplex (cold sore)- Clients with herpes should not be waxed during active outbreaks. Prophylactic medication should be taken before waxing. Inflamed or irritated skin-Inflamed or irritated skin should not be waxed.
*Lack of skin sensations
The lack of skin sensation can be due to circulatory problems arising from heart disease, diabetes, or multiple sclerosis. There can be an increased risk of burning, injury, or infection. These clients should not be waxed.
*Lupus
Those with mild forms of lupus and not presenting with the rash on the areas to be waxed can be waxed, but it is not advisable.
*Moles, skin tags. and warts
AIl moles skin tags, and warts should be avoided. Any mole that looks suspicious: has any of the precancer signs of size, shape, and color; or has hair growing out of it should not be waxed without the permission of a physician.
*Skin disorder conditions
Skin disorder conditions like eczema, seborrhea, and psoriasis may be waxed depending on severity. Minimal flakiness of dead skin cells can be waxed, but not if the skin is broken. In mild cases, the skin may benefit from the exfoliating properties of waxing, but in more advanced stages, broken skin could result.
*Pregnancy
There is nothing intrinsically wrong with waxing the bikini area on the pregnant client, but judgment should be made by both parties. If the pregnant client is considered high-risk or has high blood pressure or anxiety, it is better to avoid waxing. If the areas to be waxed take more than 20 minutes of the client lying flat on her back, then the client should wait until after the birth of the baby. Even though there are no recorded cases of infants being harmed because their mothers received wax service, prolonged time flat on the back could deplete oxygen to the fetus.
*Scar tissue
No scar tissue, including keloids, should be waxed over.
*Sunburn
Sunburned areas should not be waxed. Any such area must have healed completely.
*Varicose veins
Must not wax over the varicose veins but may wax surrounding areas. I acknowledge the following has been discussed with me:
Waxing can have certain side effects such as skin removal, redness, swelling, tenderness, etc. Medications, medical conditions, and lifestyle choices can cause thin, sensitive skin which is more vulnerable to lifting and sensitivity during waxing.
I understand while there is no medical evidence to suggest that waxing can harm an unborn child, it is wise to err on the side of safety during the first trimester of pregnancy.
No waxing treatments are to be performed during that time.
I understand There are always sensitive skin varieties with terminal hair (deeply rooted thick hair) that react traumatically when waxed.
Such reactions may include small whiteheads, blisters, and perhaps welts. The skin may itch and we recommend you take Benedryl and apply Calamine lotion or Aquaphor (always check with your doctor first if you can take these over-the-counter medications) until symptoms subside, normally 72 hours after waxing, it is very important to avoid direct sun exposure the first 3 days after being waxed to prevent blistering, scabbing, hyperpigmentation, and blotchy skin. *

What you can expect:
1. The suction pressure of a vacuum applicator may cause sensations of deep pulling, tugging and pinching. A surface applicator may cause sensations of pressure. You may experience intense cold, stinging, tingling, aching or cramping as the treatment begins. These sensations generally subside as the area becomes numb.
2. The treated area may look or feel stiff after the procedure and transient blanching (temporary whitening of the skin) may occur. These are all normal reactions that typically resolve within a few minutes.
3. Bruising, swelling, and tenderness can occur in the treated area and it may appear red for one to two weeks after treatment.
4. You may feel a dulling of sensation in the treated area that can last for several weeks after the procedure. Other changes – include swelling, itching, tingling, numbness, tenderness to the touch, pain in the treated area, cramping, aching, bruising and/or skin sensitivity – also have been reported.
5. Patient experiences may vary. Some patients may experience a delayed onset of the previously mentioned symptoms. Contact us immediately if any unusual side effects occur or if symptoms worsen over time.
6. You may start to see changes in as early as three weeks after your fat freezing treatment, and will experience the most dramatic results after one to three months. Your body will continue to naturally process the injured fat cells from your body for approximately four months after your procedure.
7. Additional treatments may be needed to reach your desired outcome.
8. In rare cases, patients have reported darker skin colour, hardness, discrete nodules, freeze burn, enlargement of the treated area, hernia or worsening of existing hernia following the fat freezing treatment. Surgical intervention may be required to correct tissue enlargement or hernia formation. I understand that these and other unknown side effects may also occur and will not hold Injex Clinics or any of its staff members liable.

HIEMT / EMSculpt is a non-invasive muscle stimulation and body contouring treatment designed to assist with muscle strengthening, toning, firming, and in some cases support reduction in fat appearance. It is NOT a weight-loss treatment, it is NOT a substitute for diet or exercise, and it is NOT a guaranteed fat-loss procedure.
Results vary significantly from person to person depending on multiple factors including but not limited to:

hormonal profile
hydration
diet

I understand that some patients may notice subtle improvement, delayed improvement, or no visible improvement whatsoever.
I understand that muscle development is a biological process and cannot be judged immediately after treatment. Muscle hypertrophy develops gradually over time and often requires several weeks to months, not days.
Visible results—if they occur—are commonly not assessable until several weeks after completion of a full treatment protocol, and in some cases may take 8–12 weeks or longer depending on the individual.
Some patients may never achieve visible aesthetic results despite completing the full recommended protocol.
I expressly acknowledge that dissatisfaction with visible outcome does NOT mean the treatment was defective, unsuccessful, or refundable.
RECOMMENDED TREATMENT PROTOCOL
For meaningful evaluation, a minimum initial course of at least 8 sessions is strongly recommended.
Standard protocol is typically:
2 sessions per week
minimum 8 sessions on the same treatment area
followed by approximately 2 weeks pause
followed by a further 8 sessions on the same area if clinically appropriate
Many patients require more than one course for visible improvement.
Stopping treatment early, missing sessions, delaying sessions excessively, or failing to complete the recommended protocol significantly reduces the likelihood of any result.
If the full protocol is not completed, results cannot be fairly judged.
FAT LAYER LIMITATION
I understand that HIEMT primarily stimulates muscle and is not designed to remove significant fat volume.
Where there is a thicker fat layer covering the muscle (for example excessive abdominal fat, significant pinch thickness, or generally more than approximately 2–3 inches / 3–5 cm of fat thickness depending on the area), visible muscle definition may be minimal or not noticeable at all, even if muscle strengthening occurs underneath.
In such cases, the treatment may provide little or no visible cosmetic improvement.
I accept that lack of visible change due to fat coverage is not grounds for complaint, dispute, refund, chargeback, or cancellation.

failure to follow aftercare

refusal to continue treatment after starting
Because treatment time, professional consultation, machine allocation, staff time, and clinical planning are reserved specifically for the patient, no refund, partial refund, reversal, or compensation will be offered under any circumstances once treatment is booked, started, or completed.
Chargebacks or payment disputes for dissatisfaction with aesthetic outcome are expressly rejected where treatment was provided as agreed.
TREATMENT CONSIDERATIONS
I am aware that treatment cannot be applied over the head, heart, or neck.
I understand pregnancy is an absolute contraindication and pregnant patients cannot undergo treatment.
I understand I must disclose all implants, surgeries, medical conditions, medications, metal implants, pacemakers, IUDs, hernias, mesh repairs, or other relevant health conditions before treatment.
I understand the applicators must remain in full contact with the skin.
I understand that treatment over injured, impaired, inflamed, or otherwise compromised muscles is contraindicated.
RISKS AND SIDE EFFECTS
I understand there are risks associated with HIEMT treatments including but not limited to:

We are not able to accept sickness to reschedule your appointment outside of your 48 hours notice. If you turn up for your appointment feeling unwell or sick, your treatment will be refused and no refund or other appointment will be given.

Deposit Policy
To secure an appointment, Shape Zone may require a deposit at the time of booking. By paying a deposit, the client confirms that they have read, understood, and accepted this policy.
1. Non-refundable deposits
All deposits paid to Shape Zone are strictly non-refundable.
2. Validity of deposit
Any deposit paid will remain on the client’s account for 12 months from the date of payment. During this period, the deposit may be applied toward the cost of treatments or treatment packages purchased by the client, or used to secure the treatment price for a future appointment.
3. Purpose of deposit
Deposits are taken to reserve appointment time, secure therapist availability, and protect the agreed treatment or package price for the client’s next visit.
4. Forfeiture of deposit
The deposit will be forfeited in full in the event of:
failure to attend a booked appointment without notice;
cancellation without the required notice period;
rescheduling requested later than the permitted notice period.
In such cases, the deposit shall be retained by Shape Zone to cover administrative costs, reserved appointment time, and loss of business.
5. Late cancellation and late rescheduling
Clients must provide at least 48 hours’ notice to cancel or reschedule an appointment without losing their deposit. Any cancellation or rescheduling request made with less than 48 hours’ notice will result in the deposit being forfeited.
6. Non-transferable and non-cash redeemable
Deposits are non-transferable to another person and cannot be exchanged for cash, refunded to a bank card, or otherwise redeemed for cash value.
7. Expiry of deposit
Any unused deposit remaining on the client’s account after the 12-month period will automatically expire and be removed from the account without further notice.
8. Promotional and package bookings
Where a deposit is paid in connection with a promotional offer, discounted treatment, or treatment package, the deposit may be applied toward that purchase, but remains non-refundable. If the client fails to attend, cancels late, or reschedules late, the deposit will be forfeited and the promotional or discounted price may no longer be honoured.
9. Future bookings
Shape Zone reserves the right to require full prepayment, refuse further bookings, or limit advance bookings where a client has a history of no-shows, late cancellations, or repeated late rescheduling.
10. Appointment confirmation
Appointments are not considered confirmed until any required deposit has been received in full.

Stored Card Authority and Recovery of Unpaid Charges
To secure certain appointments, treatment courses, packages, promotional bookings, or same-day bookings, Shape Zone may request that the client authorise a payment card to be securely stored by our payment provider using a card-on-file facility.
By providing and authorising a stored payment card, the client agrees that Shape Zone may charge that card, without needing to obtain separate authority on each occasion, for the following amounts where lawfully due under the booking agreement:
Outstanding treatment charges
The price of treatments, services, packages, add-ons, consultations, products, or upgrades that were requested, supplied, and not fully paid for at the time of the appointment.
Late cancellation and no-show charges
Any cancellation fee, no-show fee, or late rescheduling fee that is validly due under Shape Zone’s cancellation policy, provided that such charge reflects the agreed booking terms and is not greater than the amount properly payable for the missed appointment or the loss reasonably suffered.
Agreed consultation fees, patch test fees, and booking fees
Any consultation fee, booking fee, deposit shortfall, or other stated fee that the client agreed to pay as part of the booking process and which remains unpaid.
Same-day additional services
The price of any additional applicators, upgrades, extra treatment areas, treatment time extensions, products, or package purchases that the client requested and approved during the appointment.
Damage or misuse
Any charge expressly agreed in writing by the client for lost loan items, damaged equipment, or misuse of salon property, where the amount is reasonable and supported by evidence.
Limits on Stored Card Charges
Shape Zone will only use a stored card to recover sums that are genuinely due for services requested or supplied, or for valid fees due under the client’s booking terms. Shape Zone will not use a stored card to impose arbitrary penalties, unfair charges, or amounts unrelated to the client’s booking.
Notification Before Charge
Where reasonably practicable, Shape Zone will send notice by email and/or SMS to the client before processing a stored-card charge, stating:
the reason for the charge,
the amount to be charged,
the appointment or invoice to which it relates, and
the date on which payment will be taken.
For unpaid balances arising immediately after treatment or where the client leaves the premises without paying for services already supplied, Shape Zone may process the stored-card charge without further delay, but will still send confirmation promptly afterward.
Evidence and Records
Shape Zone may rely on booking records, signed consultation forms, treatment records, photographs where appropriate, appointment history, invoices, point-of-sale records, email, SMS, WhatsApp messages, and internal notes as evidence of the services requested, supplied, or charges incurred.
Client Responsibility
The client is responsible for ensuring that the stored card remains valid and that sufficient funds or credit are available to meet properly due charges. If a stored-card charge fails, Shape Zone may request payment by another method and may suspend future bookings until the balance is cleared.
Disputed Charges
If the client believes a stored-card charge has been taken in error, they must notify Shape Zone promptly in writing. Shape Zone will investigate and, where appropriate, provide supporting records or issue any refund that is lawfully due. Nothing in this policy affects the client’s statutory rights.
Use of Payment Provider
Shape Zone does not store full card numbers or card security codes on its own systems. Stored-card payments are handled through our authorised payment service providers and payment processors.
Consent
By booking with Shape Zone, and by choosing to provide card details for card-on-file use, the client confirms that:
they are the authorised cardholder or have authority to use the card,
they authorise Shape Zone to charge the stored card for the categories of payment listed above where lawfully due,
they have read and accepted this Stored Card Authority and Unpaid Balance Policy together with the cancellation and payment terms.

TERMS AND CONDITIONS
Please read these Terms and Conditions carefully before booking or attending any appointment with Shape Zone London. By booking an appointment, paying a deposit, attending a consultation, proceeding with treatment, purchasing a package, entering into an instalment plan, or providing card details through our authorised payment provider, you confirm that you have read, understood, and accepted these Terms and Conditions.
These Terms and Conditions apply together with any treatment-specific consent form, package agreement, instalment agreement, consultation form, and post-treatment acknowledgement signed by you.
1. ABOUT YOUR APPOINTMENT
Most appointments include a consultation before treatment begins. During the consultation, Shape Zone may discuss:
your suitability for treatment
your goals and concerns
the treatment plan recommended for you
treatment areas
the number of applicators, sessions, or services recommended
the expected process
possible side effects and aftercare
pricing and optional extras
No treatment will be carried out without your consent.
A consultation may result in your treatment plan being confirmed, changed, upgraded, reduced, postponed, or declined, depending on your suitability, safety, and the outcome of the consultation.
2. MEDICAL DISCLOSURE AND SUITABILITY
You must disclose all relevant medical information before treatment, including but not limited to:
medical conditions
medication
allergies
pregnancy
implants
recent procedures
injuries
illness
any circumstance that may affect your suitability for treatment
It is your responsibility to inform Shape Zone of any change in your health or medical suitability before each appointment.
If anything relevant changes between visits, you must tell us before treatment starts and, where requested, complete an updated medical or consent form before any further treatment is carried out.
Shape Zone is entitled to rely on the information you provide. To the extent permitted by law, Shape Zone is not responsible for any issue, reaction, unsuitability, or adverse outcome arising from incomplete, inaccurate, or outdated information where you have failed to disclose a relevant change.
For safety reasons, Shape Zone may refuse, postpone, shorten, modify, or stop treatment if we believe it is not safe or appropriate to proceed.
3. TREATMENT CONSENT AND RESULTS
By proceeding with treatment, you confirm that:
the treatment has been explained to you
you have had the opportunity to ask questions
you understand the nature of the treatment
you understand the possible side effects and aftercare requirements
you understand that results vary from person to person
you understand that exact cosmetic, slimming, inch-loss, or measurement results cannot be guaranteed
Body shaping, slimming, and aesthetic treatments are influenced by many factors, including the treatment area, the number of sessions completed, lifestyle, aftercare compliance, and individual response.
Not achieving your desired result does not automatically mean that treatment was not properly carried out.
4. WHAT IS INCLUDED IN YOUR BOOKING, VOUCHER, GROUPON, PACKAGE OR OFFER
Your original booking, Groupon voucher, promotional offer, package, pass, or course includes only the services expressly stated in that booking or offer.
Unless clearly confirmed otherwise in writing, the following are not automatically included and are chargeable separately:
additional applicators
additional treatment areas
upgrades
add-on services
products
extra treatment time
extra sessions
larger packages or package upgrades
You are free to decline any optional additional service discussed during consultation.
If you request and approve any additional same-day service, that service will be added to your bill and will become payable by you.
5. TREATMENT AUTHORISATION AND PAYMENT LIABILITY
No treatment will be carried out without your consent.
By agreeing to and receiving any treatment performed by Shape Zone, you confirm that the treatment was authorised by you and accepted by you at the time of the appointment.
All treatments, consultations, products, add-ons, upgrades, packages, and services that you request, approve, and receive are payable by you in full, unless a different payment arrangement has been clearly agreed in writing before you leave the clinic.
If any additional same-day services are discussed with you and approved by you before being carried out, those additional services will also become payable by you.
Once a treatment or service has been carried out with your consent, payment remains due for that authorised service, subject always to your statutory rights.
Shape Zone does not accept non-payment for treatments or services that have been authorised, carried out, and received.
If payment is not made when due, Shape Zone reserves the right to recover the outstanding balance by lawful means, including use of a stored card where valid authority has been given, the charging of any clearly agreed contractual interest, and formal recovery action where necessary, together with any court fees or fixed recoverable costs permitted by law.
6. STORED CARD AUTHORITY
Where you provide card details through Shape Zone’s authorised payment provider, you authorise Shape Zone to securely store your card through that provider.
Where lawfully due, Shape Zone may use your stored card for:
unpaid balances for services you request and receive
agreed consultation or booking fees
same-day additional services approved by you
valid late cancellation, late rescheduling, or no-show charges due under these Terms and Conditions
agreed instalment payments under a signed instalment agreement
Where reasonably practicable, Shape Zone will try to notify you before charging your stored card.
If you leave the premises without paying for services already provided, Shape Zone may process the outstanding balance against your stored card and send confirmation afterward.
You confirm that you are the authorised cardholder or have authority to use the card provided.
Shape Zone does not store full card numbers or card security codes on its own systems. Stored-card payments are handled through authorised payment providers and processors.
7. DEPOSITS
A deposit may be required to secure your booking.
Your deposit may be applied toward the cost of your treatment or package.
If you cancel or reschedule with at least 48 hours’ notice, your deposit will normally remain on your account as credit for use within its validity period.
If you cancel late, reschedule late, or fail to attend, Shape Zone may retain or deduct the deposit, or part of it, in accordance with these Terms and Conditions.
Deposits:
are not transferable to another person
are not redeemable for cash unless required by law
remain valid for 12 months from the date of payment
expire if unused after the 12-month period
Where relevant, your deposit expiry date may also be recorded on your booking, receipt, invoice, or consultation form.
8. CANCELLATION AND RESCHEDULING POLICY
Shape Zone requires at least 48 hours’ notice to cancel or reschedule an appointment.

9. NO-SHOW POLICY
If you do not attend your appointment without proper notice, Shape Zone may:
apply the agreed no-show charge
deduct the prepaid session from your package or course
retain or deduct your deposit
Repeated no-shows, repeated late cancellations, or repeated late rescheduling may result in Shape Zone:
requiring full prepayment for future bookings
limiting advance bookings
refusing further bookings
10. LATE ARRIVAL POLICY
Please arrive on time for your appointment.
If you arrive late, your treatment time may be shortened, adjusted, or refused if there is not enough safe time remaining to perform the treatment properly.
If your treatment is shortened or changed because of your late arrival, the full scheduled appointment fee or full session deduction may still apply.
11. PACKAGES, COURSES, PASSES AND NON-TRANSFERABILITY
Prepaid packages, courses, sessions, and passes are personal to the purchaser and cannot be transferred to another person unless Shape Zone agrees in writing.
Packages, courses, and prepaid sessions are sold for use by the named client only.
Clients may not give, sell, transfer, assign, or share prepaid sessions, passes, or package entitlements with another person unless Shape Zone has expressly agreed in writing.
12. PACKAGES, COURSES AND EXPIRY
Packages and courses are subject to an expiry date.
Unless otherwise confirmed in writing, the validity period begins on the date of purchase.
Unused sessions remaining after the expiry date may be lost.
Any extension to the validity period is discretionary unless otherwise agreed in writing.
Clients are responsible for booking and attending their sessions within the applicable validity period.
Where relevant, the package expiry date may be recorded on your consultation form, package agreement, receipt, or invoice.
13. DISCOUNTED PACKAGES AND PART-USE RECALCULATION
Some packages and courses are sold at a discounted price because multiple treatments or sessions are purchased together.
The package price reflects the full package or course as sold.
If you choose not to complete the full package, stop attending, or later request fewer treatments or sessions than originally purchased, Shape Zone may recalculate the value of the treatments or services already used at:
the applicable individual treatment price, or
the price that would have applied to the quantity actually used
This means that discounts given for purchasing a larger package or course may no longer apply if the package is not retained or completed as purchased.
All treatments, services, and sessions already received remain chargeable and payable once taken.
Any remaining balance, credit, or unused entitlement after recalculation will be dealt with in accordance with these Terms and Conditions and your statutory rights.
If any balance remains unpaid after recalculation, Shape Zone may recover the outstanding balance together with any contractual interest clearly agreed in writing and any court fees or fixed recoverable costs permitted by law.
14. INSTALMENT PAYMENT PLANS
Where Shape Zone offers an instalment payment option, the instalment terms will be set out in a separate written instalment agreement.
By entering into an instalment agreement, you agree that:
all instalments remain due on the agreed dates
missed or failed instalments may result in future appointments being suspended
Shape Zone may use your stored card to collect instalments that are properly due under the signed instalment agreement
if an instalment is missed and remains unpaid after notice, Shape Zone may charge any contractual interest clearly stated in the instalment agreement
if recovery action becomes necessary, Shape Zone may seek the unpaid balance together with any court fees or fixed recoverable costs permitted by law
15. PREPAID SESSIONS, LATE CANCELLATIONS AND MISSED APPOINTMENTS
Where a session is part of a prepaid package or course:
a late cancellation may result in that session being deducted
a no-show may result in that session being deducted
a late arrival may result in the session being shortened, changed, or lost depending on available safe time and clinic scheduling
If you have prepaid for a course or package, deducted sessions remain treated as used once deducted in accordance with these Terms and Conditions.
16. COMPLAINTS, CONCERNS AND CHARGE ERRORS
If you have any concern about your treatment, package, balance, expiry date, or any charge applied to your account, you should notify Shape Zone as soon as possible so the matter can be reviewed and addressed promptly.
If you believe a charge has been made in error, you should contact Shape Zone in writing first and give us the opportunity to investigate and respond.
Clients are encouraged to raise any immediate concern before leaving the clinic on the day of treatment where possible.
17. PROOF OF ATTENDANCE, APPROVAL AND TREATMENT RECORDS
Shape Zone may rely on the following records where necessary to confirm attendance, treatment carried out, approval of same-day additions, balances due, booking history, package use, expiry, or payment obligations:
booking records
consultation forms
signed consent forms
treatment records
package agreements
instalment agreements
appointment history
invoices and receipts
internal treatment notes
email, SMS, and WhatsApp communications
photographs where appropriate
payment records
post-treatment acknowledgements
18. RIGHT TO REFUSE OR STOP TREATMENT
Shape Zone reserves the right to refuse, stop, postpone, shorten, or modify treatment where necessary, including but not limited to the following circumstances:
safety concerns
medical unsuitability
aggressive or abusive behaviour
inappropriate behaviour toward staff or clients
failure to provide required information
arriving unwell or in a condition that makes treatment unsuitable
repeated breaches of booking or payment terms
Where treatment is refused or stopped for safety or conduct reasons, charges may still apply to the extent permitted by these Terms and Conditions and applicable law.
19. CLIENT BEHAVIOUR
Shape Zone is committed to treating clients fairly and respectfully, and expects the same in return.
Aggressive, threatening, abusive, or inappropriate behaviour toward staff or other clients may result in:
refusal or termination of treatment
cancellation of future bookings
requirement for full prepayment for any future booking
formal recovery of any unpaid balance
20. CHANGES TO THESE TERMS AND CONDITIONS
Shape Zone may update these Terms and Conditions from time to time.
Any updated version will apply to future bookings and appointments from the date it is published or otherwise provided to clients. Changes will not apply retrospectively to rights or obligations that have already arisen in relation to past bookings, unless required by law.
21. STATUTORY RIGHTS
Nothing in these Terms and Conditions removes or limits your statutory rights.
